What is a virtual bookkeeper?
A bookkeeper who does the usual monthly work online: categorizing transactions, reconciling the accounts, closing the month, reporting, and filing GST, PST and payroll. Virtual, remote, online and outsourced bookkeeping all describe the same arrangement. You give access to your accounting file, and nothing is dropped off or collected.
Is remote bookkeeping secure?
Your records stay in your own platform, whether that is QuickBooks Online, Xero or Sage 50. We never copy them elsewhere. We work in that file as an invited user: you grant the access, you can revoke it any time, and every action is logged against that user.
How do I get my receipts and documents to you?
Whichever way suits you: email them as they arrive, forward them in a batch, or photograph and attach them to the transaction in your accounting app. QuickBooks Online, Xero and Sage 50 all support attachments against a transaction, so the receipt stays with the entry.
What if I want to talk to someone?
Call or email and you get the same person, not a queue. No meeting required to get an answer. If your plan includes a quarterly review call, that one is scheduled. Everything else we answer as it comes up.
Is this the same as outsourced bookkeeping?
Yes, that is the other name for it. Outsourced bookkeeping means the work is done by a practice outside your business rather than by someone on your payroll, which is what this is. You get the function without the hire: no salary, no source deductions, no WorkSafeBC, no cover to arrange when one person is away, and no gap when they leave. What you should ask of any outsourced arrangement is who actually does the work each month — here it is the same person, not whoever is free.
Does this work if my business is outside Metro Vancouver?
Yes, at the same service and the same price. We are based in West Vancouver and work across British Columbia, the Interior, the Island and the north included. Nothing depends on being nearby, so location does not change the scope or the number.
What is fixed-fee bookkeeping, and how is it different from hourly?
A fixed-fee bookkeeper quotes one monthly fee for a defined scope, and the fee does not rise when a month takes longer. An hourly bookkeeper bills for the time used, so the total varies. We charge a fixed monthly fee, set by transaction volume, the accounts to reconcile, what needs filing and which sales channels you use, and the quote is in writing.
Can a virtual bookkeeper work for a business in the Lower Mainland or elsewhere in Canada?
Across British Columbia, the Lower Mainland included, yes, at the same service and price. Elsewhere in Canada the bookkeeping is the same work, but PST and other provincial rules stop at the provincial border, so ask before assuming we are the right fit.
Do I need to be on cloud accounting software already?
No. On spreadsheets, a desktop file, or nothing at all, migration is part of setup and is quoted before it starts. We work in QuickBooks Online, Xero and Sage 50, and Shopify and Stripe connect to all three.
