Accounts payable services for BC small businesses

Published on Published

Every supplier bill recorded when it arrives, with its tax, so you always know what you owe and when, and the GST you paid is claimed.

By Orbis Accounting Ltd.

Short answer: we manage accounts payable for BC small businesses as part of the monthly bookkeeping. Every supplier bill is recorded when it arrives, with its GST and PST, due dates are tracked, and you get a regular list of what is due so you decide what to pay and when. It is part of the Complete plan, at a fixed monthly fee quoted in writing within one business day.

What the accounts payable service covers

Why it matters more than it looks

Bills recorded only when they are paid make the books wrong in two directions. The profit and loss misses costs you have already incurred, and the GST return misses credits you are entitled to claim for the period. Recording each bill when it arrives fixes both, and it is what lets the month be closed and the balance sheet show what the business actually owes.

It is also where small leaks hide: a bill paid twice, a supplier charging PST that should not apply, an out-of-province supplier charging none when you owe it yourself. Reconciling supplier statements each month is how those get found while they can still be fixed.

For contractors and importers

A construction business paying subcontractors reports those payments on T5018 slips, which come straight out of the payables if they are recorded properly. An importer’s bills include customs, brokerage and freight, which belong in the cost of the goods. Both are routine once the bills are coded right the first time.

Questions about accounts payable

Do you pay our bills for us?

You stay in control of payments. We record and track every bill and give you a list of what is due; you approve and release the payments, and we record them against the bills.

How do supplier bills get to you?

Whichever way suits you: email them as they arrive, forward them in a batch, or photograph them from your phone. Each one is attached to its entry in the books.

Is accounts payable in every plan?

It is part of the Complete plan, alongside payroll and WorkSafeBC reporting. Tell us roughly how many bills you get a month and it goes into the written quote.

Can you clean up payables that are already behind?

Yes. We reconcile each supplier’s statement to find what is really owed, record what is missing, and start the monthly cycle from agreed balances. Catch-up work is quoted once before it starts.
